Position: Onboarding Advisor
Salary: £22,525 per annum
Location - Bradford
Contract Type: 12 months Fixed Term Contract

Job Purpose and Context:

Our Onboarding Advisors, play a crucial role in the smooth and efficient onboarding of new candidates, ensuring compliance and readiness for their start. Your primary focus will be to support and guide hiring managers throughout the recruitment and onboarding process, promote the use of our Applicant Tracking System (My Recruit), conduct necessary checks for candidates, and provide outstanding customer service to both internal and external stakeholders.

Key Accountabilities and Decision Making:

  • Act as the first point of contact for inquiries regarding the Applicant Tracking System (My Recruit), ensuring a professional and positive recruitment experience for candidates and managers.
  • Work closely with hiring managers to enhance their recruitment knowledge and skills, including assisting in the delivery and development of recruitment training on the ATS.
  • Ensure all contracts of employment, offer letters, and contractual paperwork comply with HR best practices and relevant employment legislation.
  • Manage the onboarding process, ensuring all pre-employment checks, such as DBS, eligibility to work in the UK, references, health declarations, and qualifications, are completed accurately and efficiently.
  • Develop and maintain positive and collaborative working relationships across the organization to support the reputation of recruitment as a professional and efficient support function.
  • Continuously suggest improvements to processes, systems, and procedures.

Knowledge:

  • A good working knowledge of general IT systems and MS Office applications, particularly Excel.
  • Strong experience and technical understanding of using an ATS (applicant tracking system) for managing recruitment and onboarding processes.
  • Awareness of the workings of the HR department and familiarity with its overall services.
  • Experience with Right to Work and DBS regulations, processes, and procedures.

  • Attention to detail to ensure accuracy in data and documentation.
  • Excellent relationship-building skills, both internally and externally, with a focus on valuing diversity and sensitivity to others' viewpoints.
  • High degree of initiative, flexibility, diplomacy, and patience.
  • Strong team player with the ability to work under pressure, prioritize effectively, and meet deadlines.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to understand how one's role impacts wider organizational plans.

Experience:

  • Demonstrable onboarding/recruitment administrative experience in a shared service/customer contact center environment.
  • Experience in effective relationship management with customers, both internal and external.
  • Ability to work under strict deadlines and achieve specified performance measures.
  • Experience in supporting/delivering projects or initiatives.
  • Providing onboarding and system support to a diverse group of customers.

Qualifications:

  • Onboarding/Recruitment/HR related qualification desirable.
  • Relevant vocational qualifications in numeracy and literacy.
  • Customer service training/qualification desirable.

Key Activities and Outcomes:

  • Ensure accurate and up-to-date data in Myrecruit and MSS transfers for personnel files.
  • Provide generalist onboarding support by processing and executing offers and requests from Hiring Managers accurately and to agreed standards.
  • Meet SLAs on all onboarding processes to provide an exceptional candidate experience.
  • Offer advice and guidance via the Onboarding phone line and inbox to help managers utilize the system optimally.
